International Business Seminars (IBS) is a small, tightly knit study abroad provider that has operated short-term study abroad programs since 1976. Providing some of the first business focused short-term study abroad programs, we have operated over 650 programs in now a variety of disciplines and have over 33,000 alumni.

We are currently looking to add an Office Specialist to the team immediately. This individual will be based in our Phoenix office and work closely with the IBS Team. The successful candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative and prioritize daily tasks.

This position is a full-time position based in Phoenix, AZ. This role focuses on a number of duties and responsibilities including:

Qualifications:

  • Bachelor’s Degree or equivalent experience
  • Proficiency in MS Office
  • Excellent communication skills and organizational abilities
  • Strong time management skills with the ability to think ahead, the ability to coordinate people and processes in a complex, multi-cultural context, and the initiative to execute quickly and accurately
  • Knowledge of invoicing and managing payments a plus!

Responsibilities:
The responsibilities are highly administrative in nature and include, but are not limited to, the below:

  • Performing clerical and administrative functions in order to drive IBS’ maintenance and success
  • Draft correspondences and other formal documents
  • Plan and schedule appointments and events
  • Working with Program Managers to create student and leader program materials
  • Greet and assist visitors
  • Answer and place telephone calls
